Optimization of Material Registration in Warehouses

How can we accelerate the technical identification, entry, and standardization of materials in SAP, ensuring PDM-compliant descriptions, preventing duplicates, and enabling end-to-end traceability?

Challenge Description:

There is a set of legacy materials distributed across different warehouses that require registration regularization and classification in SAP to ensure a unified stock view and consistent information throughout the supply and maintenance processes. 

 The goal is to accelerate item identification (including technical characteristics research) to enable system entry with standardized descriptions (PDM) and registration flow governance, preventing variations and duplicates/generic codes. The journey includes field identification, data collection (including photos and labels), technical data search, analysis, classification, and approval, following the company’s material registration workflow. 

Considering operations in multiple locations, the solution must also work in offline scenarios, allowing offline use with later synchronization. Integration with SAP and related corporate platforms should enable quick queries, mapping support, and progress tracking. 

Solution Requirements 

  • ield Data Collection (offline → online): photos, label reading/generation (QR/barcode), minimum data; synchronization queue and conflict resolution. 
  • AI Assistants in Data Collection: automatic suggestion of attributes from photos and/or manufacturer references (CV/OCR/LLM), with confidence levels and fields for human review. 
  • Duplicate prevention (AI + rules): Similarity engine (image + text) and fuzzy matching for mapping suggestions with decision history 
  • Classification According to PDM: guided templates, automatic validations, and generic/duplicate code blocking 
  • RPA Automation: triggering repetitive routines (SAP queries, attachments, field updates) based on workflow events. 
  • Flow management: Visual statuses (collected → under analysis → approved), checklists, responsible parties, and audit trail. 
  • Integrated query: Search by code/description/image/manufacturer reference in SAP/MDM to guide classification and prevent duplicates. 
  • Security/governance: Role-based profiles, logs, internal policies, and Brazilian General Data Protection Law compliance. 

Possible Technologies: 

  • Mobile app with offline mode (local storage, sync queue, and conflict resolution) and QR/barcode reading/generation. 
  • Labels (QR/NFC/RFID) and portable printers for field use. 
  • AI matching engine for mapping suggestions and prevent duplicates. 
  • RPA for automating repetitive SAP tasks (creations/updates, attachments, validations, email/ITSM triggers). 
  • APIs/Connectors for SAP/MDM/BI/ITSM (existing code queries and approved registration submission).
