Intelligent Automation in Low-Value Purchases

How can we automate the process of purchasing small items, consulting suppliers from AXIA Energy and the market, to reduce the operational burden of procurement?

Challenge Description:

The small-value purchasing process represents a significant volume and, at the same time, requires considerable operational effort. The challenge is to develop a solution that automates the small-value purchasing process, using artificial intelligence (AI) to consult both AXIA Energy suppliers and external sources, returning the most viable options for the buyer to approve.

Additionally, human effort is also required in the follow-up stage for receiving purchase orders from suppliers. The opportunity here is to automate an interaction process with suppliers to ensure that orders have been received and will be delivered correctly.

The proposal is to create a system that integrates RPA and AI to optimize supplier selection, automating the contracting process and ensuring a high level of automatic approval, as well as monitoring order acceptance, alerts for the purchasing team, and automatic messages to suppliers requesting order status updates. The solution must be integrated with the SAP system and provide a user-friendly interface. Furthermore, it should include functionalities to highlight payment terms and verify their adherence to AXIA Energy best practices.

Solution Requirements

  • Integration with SAP and other existing systems to formalize the purchasing process.
  • Ability to consult with AXIA Energy suppliers and market suppliers.
  • Use of AI for quote and negotiation optimization.
  • Approval layer for purchases by the buyer or automatic (configurable).
  • Ability to parameterize the solution throughout the process (categories, value limits, automatic approval limits, etc.).
  • Monitoring of order delivery times, automatic sending of follow-up emails to suppliers, and alerts to buyers.
  • User-friendly and intuitive interface for users.
  • Region filter to analyze logistical viability.
  • User hierarchy and permission control.
  • Payment terms are indicated for verification of adherence to AXIA Energy practices.
